FAQ

Questions about Calendly + ClickUp.

How do I create a ClickUp task from a Calendly booking?
Calendly Invitee Created → ClickUp Create Task in a "Meetings" list with the invitee name + Calendly event link in the description and the meeting time as the due date.
Can I add a fixed prep checklist to every meeting task?
Yes. After Create Task, loop over a fixed checklist ("Review LinkedIn", "Check CRM", "Read past tickets") and call Add Checklist Item per step. Host gets a structured prep flow every time.
How do I handle reschedules without duplicating the ClickUp task?
Store the ClickUp task ID in a Calendly hidden field, or maintain a lookup of calendly_event_uri → clickup_task_id. On reschedule, Update Task with the new due date instead of creating a new one.
Can I route Calendly event types to different ClickUp spaces?
Yes. Switch on the Calendly event_type slug. Sales demos → Sales Space. Customer interviews → Research Space. Support calls → Support Space. One Calendly trigger fans out to multiple ClickUp destinations.
Can I add a follow-up task scheduled after the meeting?
Yes. Schedule a delayed workflow that fires 1 hour after meeting end. Create a "Send recap" task assigned to the host with due date = end of day. Forces the follow-up habit without manual entry.
How do I capture Calendly intake answers as ClickUp custom fields?
Loop over the questions_and_answers array on the booking payload. Map each Calendly answer to a ClickUp custom_field UUID. Set via Update Task right after Create Task.
