FAQ

Questions about Trello + Calendly.

How do I create a Trello card from a Calendly booking?
Calendly Invitee Created → Trello Create Card in a "Meetings" list. Card title = invitee + event type. Description = meeting time + Calendly URL. Due date = the booking start time.
Can I add a prep checklist to every Trello card?
Yes. After Create Card, Trello Create Checklist with a fixed prep list, then loop Add Checklist Item for each step. Host opens the card with a structured prep flow ready.
How do I route different Calendly event types to different Trello lists?
Maintain a (event_type → trello_list_id) lookup. Switch on the Calendly event_type slug and pass the matching list_id to Create Card. Sales demos → Sales list; research → Research list; etc.
Can I move the Trello card to "Done" when the meeting ends?
Yes. Scheduled workflow that fires at meeting end_time → Trello Move Card to a "Done" list. Pair with a follow-up reminder for the host.
How do I add the Calendly attendee as a Trello member on the card?
For internal attendees, lookup their Trello memberId by email and Add Member to Card. External attendees can't be Trello members; add them as a comment with their contact details instead.
How do I handle Calendly reschedules without duplicating Trello cards?
Store the Trello card ID in a Calendly URI → Trello ID lookup. On reschedule, Update Card with the new due date instead of creating a new card.
