FAQ

Questions about Calendly + Google Calendar.

Doesn't Calendly already create a Google Calendar event?
Yes — the default Calendly description is generic. The pair lets you enrich it: pull CRM history, append intake answers, attach AI prep notes — all into the same calendar event, so the host gets value the moment they open their day.
How do I append intake answers to the Google Calendar event?
Calendly Invitee Created → fetch the event ID from the matching Google Calendar event (search by start time + invitee email) → Update Event with the new description block including questions_and_answers.
Can I add AI-generated prep notes to the calendar event?
Yes. Insert a Claude or OpenAI step that pulls CRM context (HubSpot, Salesforce) and writes a 5-bullet brief. Update the calendar event description to include the brief in a "Prep" section.
How do I add a follow-up reminder to my calendar after the meeting?
After the meeting end_time, fire a follow-up workflow that creates a separate "Send recap" calendar event 1 hour later, on the same calendar. Forces post-meeting follow-up.
Can I delete the Calendly-created event if the booking is cancelled?
Calendly already handles this — Invitee Canceled cancels the linked Google Calendar event. The pair lets you also fire a follow-up workflow (e.g., remove from CRM activity, post in Slack).
How do I route bookings to a specific calendar based on event type?
Calendly handles this natively in event-type settings (each event type writes to a configured calendar). The workflow can additionally cross-post or duplicate the event to a shared team calendar.
