    A Customer Files a Claim

    The customer submits the Warranty Claim Form with product details, proof of purchase, and photos of the issue. Two things to know when you set it up: the order-number field expects Shopify's internal numeric order ID rather than the #1001-style number on the receipt, and the purchase date is typed in as text. Publishing the form auto-creates the Warranty Claims sheet, which is the record for every claim from here on.

    The Purchase Is Verified and AI Checks Validity

    The workflow looks the order up in Shopify to confirm the purchase and its date, if the lookup succeeds, the claim is marked verified. The AI Validity Check then weighs it against the warranty period, the issues you've listed as covered, and the ones you've listed as excluded, and recommends a resolution.

    A Human Reviews

    Your warranty team is notified in the Slack channel you nominate, and the review screen shows the invoice, the photos, and the AI recommendation together. A person approves or rejects, the AI never decides a claim on its own.

    The Decision Is Recorded and the Customer Is Notified

    The claim's status and resolution are written back to the sheet, giving you one auditable place where every claim, its evidence, and its outcome live. The customer is emailed the decision either way, approvals carry the resolution, rejections carry the reason. Nothing sits in a silent queue.

How is the purchase verified?
Against Shopify. The claim is matched to the real order before review, so a reviewer knows the item was actually bought and when, which is the fact most warranty disputes turn on.
Does AI approve or deny claims?
No. It checks validity against your warranty_months, covered_issues and excluded_issues and attaches a recommendation. A human reviews and decides, and the decision is recorded and emailed to the customer.
What do I need to connect?
Shopify, Slack and Gmail. Shopify verifies the purchase, Slack notifies your warranty channel, and Gmail sends the Warranty Claim Decision. Brevo is a supported swap for the email at install.
Can I define what the warranty covers?
Yes. Covered issues and excluded issues are separate configuration values, so the validity check reflects your published warranty terms and a reviewer sees the reasoning rather than a bare verdict.
What does the customer have to provide?
The claim form captures the issue and supporting photos, and the order lookup supplies the purchase evidence, so claims arrive complete instead of starting an email thread asking for a receipt.
