Fill one form and let onboarding run itself

HR fills one form. The checklist, the welcome, the announcement, and the paperwork all happen on their own.

Onboarding fails in the gap between offer accepted and day one, and it fails the same way every time, somebody forgets a step. This recipe turns that whole stretch into one submission. HR enters the new hire once; their task card is created, their welcome email goes out with a document-upload link, and the team is told who's starting and when. When the documents come back, a second workflow matches them to the right record and marks them received. The tracker sheet always shows exactly where each hire stands.

How it works

Step by step, once it is running.

  1. 01
    HR Adds the New Hire

One New Hire Intake submission captures the person, their personal email, role, department, manager, start date, and work location, and kicks the whole thing off. That's the only manual step in the entire recipe.

  2. 02
    Their Onboarding Tasks Are Created

The workflow creates an onboarding-tasks card in Trello carrying your standard checklist and any mandatory training, tagged with their role, department, start date, and manager. You define that checklist once at install and every hire after gets it identically. Swap Trello for Notion, Asana, or Monday.com.

  3. 03
    They Get a Warm Welcome

A branded Welcome & Documents email goes to the new hire with a link to upload everything HR needs before day one. It arrives while they're still excited about the offer, which is precisely when people actually do their paperwork.

  4. 04
    The Team Is Notified

A Slack message announces the new hire and their start date, so nobody is surprised by an unfamiliar face on Monday and the manager isn't the only person who knew. Swap Slack for Telegram, Discord, or Google Chat at install.

  5. 05
    Documents Come Back Automatically

The new hire uploads through the document form, and the Document Collection workflow matches the submission to their record by email and marks documents received. No forwarding attachments, no renaming files, no one asking whether the ID copy ever arrived.

  6. 06
    Progress Is Always Visible

The Onboarding Tracker sheet shows exactly where every hire stands: setup, awaiting-documents, ready. One view answers the only question HR actually gets asked about onboarding: who still needs chasing?

What you walk away with
FAQ

Questions about New Employee Onboarding.

What happens after HR submits the intake form?
Onboarding tasks are created from your checklist, a warm welcome email goes to the hire, the team is notified in Slack, and a separate document upload form is sent so paperwork returns without anyone chasing it.
What do I need to connect?
Trello, Gmail and Slack. Trello holds the generated task list, Gmail sends the welcome and document request, and Slack announces the hire. Notion, Asana and Monday.com are listed alternatives to Trello at install.
Can I define our own onboarding checklist?
Yes. onboarding_checklist and training_activities are configuration values, so the tasks created are yours rather than a generic template. Change them and every future hire gets the updated list.
How do documents come back?
Through a dedicated New Hire Document Upload form whose URL is set at install and included in the welcome email. Submissions land on its response sheet, so HR sees what has arrived and what is still outstanding.
Is progress visible without asking?
Yes. Tasks live in Trello and each hire has a row from the intake form, so onboarding status is something you look at rather than something you request in a meeting.
