Give every clinical role its own onboarding checklist, written by AI

A nurse and a billing coordinator don't need the same checklist. AI writes each one.

Healthcare onboarding carries compliance weight that generic HR templates miss. This recipe collects the hire's credential documents on day one, then has AI build a checklist specific to their role and department, the mandatory items every hire needs plus the ones only their role needs. That checklist becomes a real Trello card your team ticks off, orientation is booked for their start date, the hire is welcomed, and HR is told it's all underway.

What gets built

3 things appear in your workspace.

Installing provisions each one, wired together and ready to run.

FormNew Staff Onboarding Intake

Collects the hire's details and their professional license, photo ID, and certifications. Publishing it auto-creates the response sheet, which the workflow extends with onboarding_stage and task_board_url.

EmailWelcome & First-Day

Sent the moment intake is submitted: role, start date, orientation time, and who to contact on day one.

WorkflowRun Staff Onboarding

Fires on intake: builds the role-specific checklist with AI, materializes it as a Trello card with one checklist item per task, schedules the orientation event, emails the hire, notifies HR in Slack, and stamps the sheet row.

How it works

Step by step, once it is running.

  1. 01
    New Hire Completes Intake

The hire (or HR on their behalf) fills the New Staff Onboarding Intake form and uploads their professional license, photo ID, and any certifications. Publishing the form auto-creates its response sheet, the single system of record, so credentials are captured before day one rather than chased in week two.

  2. 02
    AI Builds the Checklist

A TinyGPT step reads the hire's role and department and returns a checklist of six to twelve tasks. Every list carries the mandatory items (HR paperwork, credential verification, HIPAA training, infection control, IT and badge setup, orientation) plus the ones specific to that role. A ward nurse and a billing coordinator get genuinely different lists, which is exactly what a single static template can't do.

  3. 03
    Tasks Are Created

A Trello onboarding card is created and every checklist item is added as a real checklist entry on that card, not a pasted block of text, but individually tickable items HR and the hiring manager can work through. Swap Trello for Notion at install.

  4. 04
    Orientation Is Scheduled

A Google Calendar orientation event is created for 9 AM on the hire's start date and they're invited automatically. Nobody has to remember to book it, and nobody arrives on their first morning unsure where to be.

  5. 05
    Hire Welcomed, HR Notified

The new hire gets a welcome email with their role, start date, orientation time, and who to contact on day one. HR is notified in Slack with a link straight to the onboarding card. Swap Gmail for Brevo and Slack for Telegram at install.

  6. 06
    Progress Is Tracked

The response sheet row is stamped with an onboarding_stage of orientation-scheduled and the card URL, so HR can see where every hire stands from one sheet instead of opening each board separately.

What you walk away with
FAQ

Questions about Healthcare Staff Onboarding.

Why not use one standard checklist?
Because roles differ. A nurse needs credentialing and clinical system access; a billing coordinator does not. AI builds the checklist from the role captured on the intake form, so each hire gets the tasks that actually apply to them.
What do I need to connect?
Trello, Google Calendar, Gmail and Slack. Trello receives the generated tasks, the calendar books orientation, Gmail sends the welcome, and Slack notifies HR. Notion can replace Trello and Brevo can replace Gmail at install.
Does the new hire get anything automatically?
Yes. A Welcome and First-Day email goes out carrying their role, start date, orientation time and who to contact on day one, so their first message is useful rather than a calendar invite with no context.
How is onboarding progress tracked?
The generated tasks live in your Trello list and each hire has a row from the intake form, so completion is visible without asking a manager for a status update.
Is it free and can I change the generated tasks?
It installs free, and the checklist is a starting point, not a lock. Tasks are ordinary Trello cards you can edit, reorder or delete, and the organization name, HR contact and orientation calendar are configuration values.
