    Submit a Leave Request

    Faculty fill the published Leave Request Form: name, email, leave type, start and end dates, and the reason. Your leave policy note can be shown right on the acknowledgement step, so the rules are visible at the moment they're relevant. Submitting fires the workflow automatically.

    Every Request Is Logged

    Publishing the form auto-creates its Leave Requests response sheet, the single record of every submission, and the workflow stamps each row's status once the decision comes in. One sheet, one row per request, no parallel tracker for someone to maintain.

    Pause for Department Head Approval

    The owning department-head channel gets a summary with a secure review link, and the workflow genuinely pauses at a human-in-the-loop step until someone clicks Approve or Reject. Nothing times out into an approval. Swap Slack for Telegram, Discord, or Google Chat at install.

    Record Is Updated and Faculty Notified

    On approval the row is marked approved and the faculty member is emailed the green light. On rejection it's marked rejected and they're asked to adjust and resubmit. Either way they hear back, which is the part that email threads reliably fail at. Nobody has to ask whether their leave was approved, and nobody has to go looking for the thread to find out.

Questions about Faculty Leave Approval.

Who approves a leave request?
Your department head. The workflow pauses at a human approval step and waits, so no request is auto-approved. The decision is recorded on the row and the faculty member is emailed either way.
What do I need to connect?
Slack and Gmail. Slack carries the approval request to the department channel, and Gmail sends the Leave Decision Notification. Google Chat, Telegram, Discord and Brevo are supported swaps at install.
Can I list our departments and leave policy?
Yes. The departments list and a policy_note are configuration values set at install, so the form offers your real departments and the approver sees your policy text rather than a generic reminder.
How do we see who is out?
Every request is logged to the form's response sheet with its dates, type and decision. That sheet is the department's leave record, so checking who is away is a filter rather than an email search.
Does a rejected request notify the requester?
Yes. Approved or rejected, the record is updated and the faculty member receives the decision notification. Nothing stalls silently waiting for someone to remember to reply.
